Job Summary

Southern Miss Events Coordinator supports the planning, coordination, and execution of campus and community events by facilitating client use of university facilities, equipment, and catering/dining services. This position serves a diverse range of clients, including camps and conference producers, community members, faculty, staff, and student organizations. The Southern Miss Events Coordinator works collaboratively with campus partners to understand client needs, coordinate event logistics, and provide on-site support to ensure events are delivered efficiently and successfully in our spaces.

Primary Duties and Responsibilities

+ Coordinate event bookings by serving as a primary point of contact for new, returning, and prospective clients. Meet with campus and external clients to assess needs, explain facility capabilities, conduct inquiry tours, and coordinate reservations for meeting spaces, equipment, technology, and outdoor areas. Maintain communication with clients and update reservations as event details change.

+ Coordinate event logistics by working with campus departments and external partners to arrange lodging, dining, equipment, and facility needs for events, camps, and conferences. Communicate and assist with enforcing applicable university, departmental, and facility policies, and relay event details to operations and service teams.

+ Provide on-site event support by serving as the client's point of contact during event arrivals, departures, and program activities, as assigned. Respond to issues and requests, monitor attendance counts and setup requirements, and conduct post-event follow-up to assess client satisfaction.

+ Support sales and contracting activities by assisting with identifying prospective conference and camp programs, preparing agreements, issuing confirmations and invoices, and maintaining accurate client and event records.

+ Manage event systems and scheduling by entering and maintaining event details in reservation software, creating room setup diagrams, scheduling student Event Assistants, and generating reports on facility usage and revenue.

+ Assist with Photo and Information Center (PIC) operations by supporting daily customer service and operational needs, as assigned.

+ Perform other duties as assigned in support of event services and departmental operations.
